Order Management
ACI365™ offers a comprehensive system for managing appraisal orders and records, as
well as communicating with clients and office personnel regarding order status.
Enter Order Information Quickly and Easily
ACI365™ stores order information for quick access so you never have to enter client, lender or
other account information more than once. Client information including address and contact information auto-populate
your records, saving time and eliminating data entry errors.
Communicate Status
ACI365™ automatically notifies the assigned appraiser of any pending orders. Confirmation includes
all pertinent data required to begin the assignment. Clients are notified when an inspection is scheduled or if any changes are made to the order (e.g.
address correction). Changes are kept in a history section so you can easily view the full progression of changes.
Change Status
ACI365™ gives you the ability to quickly update and notify all parties associated with an order. If
a client asks you to put an order on hold, ACI365™ will notify all individuals of any status changes.
Keep Complete Control
Select from several methods to deliver your completed reports including email or PDF appraisals which can
be uploaded to ACI365™ for client access (download). Appraisals stay in the system for 90 days. You can also attach the file to an email
notification that your client receives when the report is completed.
Accounts Receiveable
Managing accounts receivables in ACI365™ is easy and enables you to better manage
clients that have outstanding invoices.
Payment History
ACI365™ displays the client's payment history whenever you create a new order.
This feature automatically keeps you in tune with your client’s payment
history.
Monthly Activity Statements
ACI365™ includes detail reporting to help you manage your appraisal business.
The system allows you to print and mail or email a detailed report to any clients with
outstanding invoices.
Automated History
ACI365™ is designed so that all actions taken to collect an invoice are permanently
recorded in the History section for that particular record.
Balance Due
ACI365™ provides instant access to overdue records as defined by
parameters set by your office. It also determines the total amount of outstanding
invoices by client.
ACI365™ tracks mismatched payments so you'll know when a client has sent a
partial payment or if a payment that does not match the amount owed.
Finally, if you need to write-off a past invoice, ACI365™
allows you to flag the record which alerts you if that client orders another appraisal.
Report Generator
The ACI365™ Report Generator allows you to quickly generate three
different types of reports. Results can be printed or saved (PDF). Report criteria can be saved
as a template for future use.
List Reports
Create a List Report to meet your specific needs.
Example: List the number of appraisals an appraiser has completed in the month of March.
Example: Generate a list to submit to the state for licensing purposes.
Group Reports
The Group Report function in ACI365™ is similar to the List Report, except it allows you to break information into groups.
Example: List of all appraisals delivered in May and sorted by appraiser.
Compare Reports
The Comparison Report function in ACI365™ allows you to compare anything you want between two time periods.
Example: Compare how many appraisals delivered this year versus the same period last year.
Late Payment Notification
Tired of spending hours on the phone making collection calls for appraisal reports already
delivered? The
ACI365 Late Payment Notification system will help you reduce that time to almost nothing!
We’ve
enabled our users to send reminder email notices to those clients that are late paying.
Flexible and Customizable
You have complete control as to when notices are sent, what the messages is,
and who receives the notice. Easy set-up enables you to configure and send up to three
individual notices at the times you specify.
Each notification is recorded in the History of the record so that you know when notices were
sent.
Schedule Management
ACI365™ Schedule Manager provides daily, weekly, and monthly views to help organize
your office. The advanced calendar allows you to view scheduled appointments along
with the appraiser assigned to perform the work.
Schedule Manager also allows you to mark an event as either personal or business. Personal entries remain private while
business entries become public for all managers and owners to view appointment details.
Import Contacts
Import your contacts from Outlook into the Schedule Manager so you can conveniently look up contact information
without exiting ACI365™. A To Do List is also included, giving you the ability to keep
notes without ever exiting ACI365™.
View Daily Details
Since you will likely be in the Schedule Manager system often, we have also incorporated an area that will show
managers and owners that are logged in details regarding any record that has been updated
that day.
Example: Once an address for a record is corrected, the Schedule Manager will reflect a log
with an entry that shows "05-0245 – Address Updated".
Payroll Manager
ACI365’s™ Payroll Management system is designed to save you hours in preparing payroll
for your office.
The Payroll Management system can handle any type of employee or independent contractor. As with all
ACI365™ systems,
the Payroll Management system is simple to use and features point and click technology.
Once set up, ACI365’s™ Payroll Management system can process payroll statements for
a 10 person appraisal office in only a few minutes (literally, less than one minute per person).
Customizable Payments
You can pay virtually any person that works for you, any way you want.
Regardless of whether fees are paid hourly, salaried, a flat fee, by commission or nearly any
combination thereof,
it can be done with ACI365’s™ Payroll Management System. If you need to pay more than one
person for an appraisal
report, ACI365™ allows you to pay up to three different people for the same appraisal.
Payroll Taxes
ACI365’s™ Payroll Management system allows you to set up your account so that it
automatically calculates and deducts payroll taxes for employees for which you withhold payroll taxes.
Or, if you prefer, you can still use IRS tax tables and manually enter payroll taxes when you prepare a
pay statement.
Also, when it is time to deposit your payroll taxes, you can print a payroll tax report that details how
much to pay for FWA taxes, FICA taxes and State
taxes (where required) for any payroll period.
Website Manager
ACI365™ Website Manager provides a user friendly interface for creating a professional looking website that will allow your clients to order appraisals, and view information about your company.
